The Talisi Historical Preservation Society (“THPS,” “we,” “us,” or “our”) respects the privacy of visitors to our website and members of the community who communicate with, support, or contribute materials to the Society.
This Privacy Policy explains what information we may collect, how we use it, and how information or historical materials shared with THPS may be preserved or made available to the public.
Information We May Collect
We may collect information that you voluntarily provide to us, including:
- Your name, email address, mailing address, telephone number, or other contact information.
- Information submitted through contact, volunteer, membership, donation, event, or archive-contribution forms.
- Correspondence sent to THPS by email, mail, social media, or other means.
- Photographs, documents, recordings, written memories, genealogical information, historical records, artifacts, or other materials submitted or donated to the Society.
- Information associated with donations or purchases. Payment-card and other financial information may be processed by third-party payment providers rather than stored directly by THPS.
Our website may also automatically receive limited technical information such as IP address, browser type, device type, pages visited, referring website, and similar information through server logs, cookies, analytics services, or security systems.
Public Comments and Communications
Information voluntarily posted in a public area of the website, social media page, public event discussion, or similar forum should be considered public.
Please do not submit information through public channels that you wish to remain confidential.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies and Website Analytics
The THPS website may use cookies or similar technologies that are necessary for website functionality, administration, security, analytics, or user preferences.
We may use basic website analytics to understand how visitors use the site and to improve its usefulness. We do not intend to use website analytics to build advertising profiles of individual visitors.
How We Use Information
THPS may use information we receive to:

- Administer membership, volunteers, events, donations, purchases, and Society activities.

THPS does not sell personal information to advertisers or data brokers.
Historical Materials and Public Access
A central purpose of the Talisi Historical Preservation Society is the preservation and sharing of local history.
When you voluntarily provide THPS with historical materials or historical information—including photographs, documents, letters, recordings, oral histories, family histories, written memories, artifacts, scans, names, dates, descriptions, or similar materials—you should understand that those materials may be preserved as part of the Society’s historical collections.
Unless otherwise agreed in writing, materials submitted or donated to THPS may be:
- Cataloged or described in THPS records.
- Digitized or reproduced for preservation purposes.
- Displayed in museum exhibits or public programs.
- Published on the THPS website, social media, digital archives, publications, exhibits, or educational materials.
- Made available to researchers, historians, educators, students, or members of the public.
- Used in connection with the Society’s historical, educational, preservation, and nonprofit purposes.
The fact that an item or document contains names, photographs, correspondence, family information, or other personal information does not necessarily mean that it will be treated as confidential when it has been intentionally provided to THPS for historical preservation.
If you are submitting material that you believe should remain confidential, restricted, embargoed until a certain date, or subject to another limitation, please notify THPS before or at the time of submission. THPS may accept or decline proposed restrictions depending on the nature of the material and the Society’s ability to administer those restrictions.
THPS reserves the right to determine whether submitted materials are appropriate for preservation, publication, display, or inclusion in its collections.
Rights in Submitted Materials
Submitting or donating physical material to THPS does not necessarily transfer copyright or other intellectual-property rights unless those rights are separately assigned.
Persons submitting photographs, documents, recordings, written works, or other copyrighted materials should only provide materials they own, have permission to share, or reasonably believe may lawfully be preserved and displayed.
Where appropriate, THPS may request a separate deed of gift, release, license, copyright permission, oral-history release, or other documentation concerning donated materials.
Information About Other People
Historical materials often contain information about individuals other than the person submitting them.
If you submit information or materials concerning another living person, please use reasonable judgment regarding that person’s privacy. THPS may choose to withhold, redact, restrict, or decline publication of material when appropriate, particularly where publication could create a significant privacy or safety concern.
THPS may also preserve historically significant materials that identify individuals when doing so is consistent with legitimate historical, archival, educational, or research purposes.
Children and Minors
THPS may participate in educational programs and community events involving children. We do not knowingly seek unnecessary personal information from children through the website.
Photographs, recordings, interviews, or other materials involving minors may be subject to additional permission or release requirements where appropriate.
Parents or guardians who have concerns about material involving a minor may contact THPS.
Donations and Payment Processing
If online donations, memberships, purchases, or ticket sales are offered, payments may be handled by third-party payment processors.
Those providers may collect information such as your name, billing information, email address, payment-card information, or transaction information according to their own privacy policies.
THPS may receive information necessary to record and acknowledge the transaction, but we generally do not receive or store complete payment-card numbers.
Third-Party Services and Links
Our website may link to or use services operated by third parties, including services for:
- Online payments and donations.
- Maps and directions.
- Social media.
- Embedded media.
- Email or mailing lists.
- Website analytics.
- Digital archives or document repositories.
Those services may collect information independently and are governed by their own privacy policies. THPS is not responsible for the privacy practices of third-party websites or services.
Security
THPS takes reasonable measures to protect information under its control. However, no website, electronic communication system, or digital storage system can be guaranteed to be completely secure.
Historical records may also be intentionally retained for long periods because permanent or long-term preservation is part of the Society’s mission.
Retention of Information
Administrative information may be retained for as long as reasonably necessary for organizational, financial, legal, membership, or operational purposes.
Historical and archival materials may be retained indefinitely because permanent preservation is a core function of THPS.
Copies of historical material may also exist in backups, publications, exhibits, archives, research files, or other repositories even after an item is removed from an active website.
Requests Concerning Your Information
You may contact THPS to:
- Ask what personal information you have directly provided to us.
- Request correction of inaccurate contact information.
- Request removal of information from a mailing or contact list.
- Raise a privacy concern.
- Request review of publicly displayed material involving you.
THPS will consider reasonable requests concerning personal information. However, we may not be able to remove information that forms part of a historical or archival record, has already been published or distributed, must be retained for legal or organizational reasons, or is otherwise appropriately preserved as part of the historical record.
Removal from the THPS website does not necessarily remove copies held in archives, backups, publications, third-party websites, search-engine indexes, or materials previously distributed to the public.
Changes to This Policy
THPS may update this Privacy Policy as the Society’s programs, website, technology, or legal obligations change.
The current version will be posted on this website with an updated effective date.
